Role Overview:
We’re looking for a highly organized and resourceful Office Operations Coordinator to oversee the day-to-day operations of a vibrant and fast-paced office. In this role, you'll be the go-to person for everything from vendor coordination and procurement to facilities support and team event planning. What You’ll Do:
- Oversee daily office operations to maintain a clean, secure, and fully stocked environment
- Coordinate with vendors, building management, and internal teams
- Track and resolve work orders and service tickets using systems like ServiceNow
- Manage procurement tasks, including vendor onboarding, purchase orders, invoice coding/submission, and related documentation
- Support safety and compliance efforts (e.g., building access, emergency protocols)
- Plan and support onsite meetings, internal events, and team lunches
- Maintain office inventory (supplies, snacks, janitorial needs)
- Assist with budget tracking and cost-saving initiatives
- Provide backup support during team PTO or emergencies (alarm notifications, etc.)
- Jump in on special projects and communications such as internal newsletters and office updates
- Manage calendars, conference room bookings, mail, and hoteling software
What You Bring:
- 2+ years in an Office Administrator or similar operations role
- Experience working with vendors, leadership, and cross-functional teams
- Strong sense of ownership and the ability to work independently
- Excellent customer service, communication, and multitasking skills
- Proficiency in Microsoft Office Suite (Outlook, Excel, Teams, SharePoint, etc.)
- Comfortable lifting up to 50 lbs and supporting a physical office space
- Legally authorized to work in the U.S. without sponsorship
Preferred (but not required):
- Experience with ticketing systems like ServiceNow or Workplace Service Delivery
- Familiarity with PO/invoice processes and procurement platforms
- Prior experience with Microsoft 365 collaboration tools
