Event and Communications Specialist
We are currently seeking candidates for an Event and Communications Specialist to join a highly successful international organization located in Boston, MA.

The Event and Communications Specialist will be responsible for planning, coordinating, and executing events on a global scale. The Event and Communications Specialist will work closely with internal teams and external agencies to drive all parts of event planning and project management, ensuring collaborative communication, adherence to budgeting, support of brand initiatives, and seamless execution of project deliverables.

The ideal candidate will have 7-10+ years of events experience in a corporate setting. Strong experience with global events in required.

This is a 6-7+ month contract position, paying between $45-$55/hour (depending on experience). This role supports a hybrid work-model consisting of 3 days onsite and 2 days remote per week.

Responsibilities:
  • Spearhead the planning and execution of the organization’s large-scale internal events, managing onsite event management while simultaneously balancing the coordination of multiple watch parties across the globe.
  • Establish, maintain, and prioritize project timelines and deliverables.
  • Partner with the event production agency and collaborate with multiple vendors, ensuring strong relationships with external stakeholders.
  • Manage vendor relations, including initial outreach, project scope, date holds, contracting, invoicing, and vendor deliverables. Ensure alignment on project needs and expectations.
  • Promote company culture and team experience across event locations, creating dynamic event programming that amplifies the company’s culture and brand.
  • Maintain alignment with budgeting, tracking event spends across all vendors and all event locations.
  • Oversee event coordination and communication across global locations, conducting check-ins and ensuring optimal preparedness for internal event execution.
  • Coordinate pre-event tasks and needs, including printed materials, marketing collateral, signage, etc.
  • Lead week-of onsite event management and execution, including coordinating event set-up, communicating with vendors, partnering with internal team members, and overseeing all audio-visual needs for watch global watch parties.
  • Promote effective event communications and work closely with internal communications team to achieve desired results.
  • Provide additional support as needed.
Qualifications:
  • Bachelor’s degree (required).
  • 7-10+ years of event coordination and event planning experience in corporate settings, including strong global events experience.
  • Proven track record of success in planning global events involving in-person, virtual, and hybrid components.
  • Strong project management experience and demonstrated expertise in managing multiple workstreams and balancing evolving event needs.
  • Proficiency Microsoft Office Suite (Word, PowerPoint, Excel).
  • Previous experience utilizing Smartsheet is a plus.
  • Excellent communication (written and verbal), interpersonal, and presentation skills.
  • Ability to deliver exceptional results in a dynamic environment with evolving needs and priorities.
  • Previous experience managing event budgets, including managing invoicing and payment.
  • Exceptional attention to detail and organizational skills.
  • High-level of professionalism and discretion with confidential matters.
  • Proactive, self-motivated team player mindset.
